Community Standards & Accountability Policy

Members may report concerns by contacting the Good Things Mail Club by email or through the online reporting form. When possible, include copies or photos of the correspondence.

Reports will be handled as confidentially as reasonably possible. Knowingly false or malicious reports may themselves violate the Community Agreement.

Review Process

Each report will be reviewed fairly. The Club Manager may request additional information from those involved before determining an appropriate response.

Progressive Accountability

Depending on the severity and frequency of the conduct, responses may include:

  1. Reminder – A friendly reminder of the Community Agreement.
  2. Written Warning – A formal notice describing the concern and expectations moving forward.
  3. Probation – Temporary restrictions on participation or new pen pal assignments.
  4. Suspension – Temporary removal from participation.
  5. Membership Removal – Permanent removal from the Good Things Mail Club.

Conduct That May Result in Immediate Removal

The following behaviors may result in immediate removal without prior warning:

  • Threats of violence or encouraging violence.
  • Harassment, stalking, or intimidation.
  • Hate speech or targeted discrimination.
  • Sharing another member’s personal information without permission.
  • Fraud, scams, or attempts to deceive members for personal gain.
  • Sending unsolicited sexually explicit or illegal material.
  • Impersonating another person or the Good Things Mail Club.
  • Using the community to recruit others into illegal activity or organizations that promote violence or hatred.
  • Continuing to contact a member after they have asked that communication stop.

Club Discretion

The Good Things Mail Club reserves the right to remove any member whose conduct, whether inside or outside club correspondence, demonstrates a pattern of behavior that substantially undermines the safety, trust, or mission of the community.

Appeals

Members who are suspended or removed may submit a written appeal within 30 days. Appeals will be reviewed by the Club Manager, whose decision is final.

Our goal is to educate before we discipline whenever possible. However, the safety, dignity, and trust of our members will always come first.
